This guide describes how ahead ID users can set or reset their password easily.
All ahead ID users need to set a password to access the platform. This happens when they log in for the first time or if they forget their password later on.
Note: ahead ID users are those whose accounts are created and managed directly in the User Management area of ahead.
Users managed through Microsoft Entra ID or other external identity providers don’t need to set passwords here, as their login is handled externally.
Also important: Only users can set their own password. Admins cannot create or reset passwords for other users.
When Do Users Set Their Password?
There are two common situations:
1. First-time login (onboarding)
When a new ahead ID user is added—or when an Entra ID user is enabled for ahead login—they receive an onboarding email. This email includes a button that links to the 'Set password' screen.
👉 See Sending email onboarding invitations for more details.
On the Set Password screen, the user creates their login password by entering it twice.
The password must follow the requirements defined in the password policy settings. (👉See Password Policy.) If a user enters a password that doesn’t meet the criteria, the interface will guide them to make the necessary changes.
After setting their password, the user is taken to the login screen where they can sign in using their username and new password.
Potential issues: If the user closes the password screen without completing it, the link in the email becomes invalid (it only works once). In that case, an admin needs to resend the onboarding invitation. You’ll often see this if the user’s status stays at Verified
for a while.
2. Resetting a forgotten password
If a user forgets their password, they can reset it from the login screen by clicking Forgot password. This will take them to the same Set Password screen where they can create a new password.
Note: ahead doesn't require passwords to be new or different from ones used before.
Recovering a forgotten username
If a user forgets their username, they can either check their original onboarding invitation email or click Forgot username on the login screen.
This will also start the password reset process, and their username will be shown as part of it.
