It covers the identity providers overview, how to define a username suffix, and setting a password policy, all of which should ideally be completed before creating any ahead ID users.
🧑🏻💻 For admins | ✅ Standard feature
This guide gives you an overview of the Settings area within the User Management area. It includes three important sections: Identity Providers, Username Suffix and Password Policy. These settings play a key role in how ahead ID users are created and managed, so we strongly recommend setting them up first.
Identity Providers
The Identity Providers section provides a snapshot of the authentication methods currently in use within your intranet, as well as the number of users associated with each.
This section is always visible, even if the ahead ID users feature is not enabled.
-
Supported providers:
-
Microsoft Entra ID
-
ahead ID users (users created directly in ahead)
-
-
What you see:
-
Each ID provider
-
The number of users linked to each on
-
💡 Tip: This section is read-only. It helps you monitor user distribution and decide which management approach fits your organization best.
The following sections appear only after enabling the ahead ID users feature.
Username Suffix
Before you can create ahead ID users, you must define a username suffix. This suffix becomes part of every ahead ID username in your system (e.g. username@yourcompany
).
How it works
-
You must define the suffix first, before any ahead ID users are created.
-
Once ahead ID users exist, the suffix cannot be edited.
-
You can experiment with creating and deleting users. If all ahead ID users are deleted, the field becomes editable again.
Guidelines for choosing a good suffix
-
Use something unique and recognizable, like:
-
Your intranet name
-
Your company or tenant name (e.g.
@mountaingear
)
-
-
Avoid overly long suffixes — a short, memorable suffix is ideal (aim for 3–15 characters).
-
Avoid restricted words: The suffix cannot contain certain terms like:
-
local
-
ahead
-
-
Allowed format: Most characters are supported (except some special characters and @); you’ll get a validation warning if it doesn’t pass.
💡 Important: Once you save the suffix and users are created, it becomes permanent. Make sure you’re happy with your choice before proceeding.
Password Policy
Before creating ahead ID users, you should also review the Password Policy. This defines how strong users’ passwords need to be.
Available options (via checkboxes):
- Simple
-
Minimum 6 characters
-
Must include: letters, 1 number
-
Max length: 100 characters
-
-
Standard (default)
-
Minimum 6 characters
-
Must include: uppercase and lowercase letters, 1 number, and 1 special character
-
Max length: 100 characters
-
-
Strong
-
Stricter complexity rules (e.g. longer length or more character variety)
-
* Custom
For now optional setting of a password is not available but if your company has specific internal password guidelines contact your CSM.
💡 Important: Once an ahead ID user is created, you can’t change the password policy anymore. Be sure to select the right policy before proceeding.
These choices shape how your users are created and authenticated. Once again, we strongly recommend finalizing these settings before you create or import any local users to ensure your user setup is secure, consistent, and fully aligned with your organization’s needs.
