How to set imported documents for Ask ahead?

Once you've uploaded documents using the Document Import API, additional settings are available to enhance how those documents are used within the Ask ahead feature. These settings include custom tags for better search performance, custom URLs, language-based filtering, and user group targeting. This article explains how each of these settings impacts the retrieval and usage of imported documents.

Custom Tags

  • Purpose: Tags improve how easily documents can be retrieved when users ask questions in the Ask Ahead feature.
  • How it works: Add a comma-separated list of terms associated with each document. These tags help categorize and index the documents, making it easier for the system to retrieve relevant sources based on the user’s query.

Custom URL

  • Purpose: Control the destination URL when a document is cited as a source in Ask Ahead responses.
  • How it works: By default, when a document is listed as a source, clicking the link opens the file. You can override this with a custom URL, directing users to a different page or document. This can be useful for linking to external resources or more detailed documents.

Language Targeting

  • Purpose: Ensure that documents are only used for users asking questions in a matching language.
  • How it works: You can associate each document with a specific language. When a user asks a question, the document will only be retrieved if their content language corresponds to one of the languages you’ve set. This helps ensure that users see content that’s relevant and understandable to them.

The way documents are indexed is inherently language-neutral. That means that if the contents of a document is relevant for all users irrespective of their spoken language, there is no need to import multiple versions in different languages.

User Group Targeting

  • Purpose: Ensure that documents are only used for users asking questions in a matching target group. 
  • How it works: Documents can be targeted to specific user groups, ensuring that only users meeting those criteria will have access to the document when asking a question. For example, if a document is only relevant to a particular department, you can set targeting rules so only users in that department will see it as a source.
